Contractor guide
Safety Certificates
Under Certificates you'll see the certificates assigned to you — with the property, type, status (Valid / Expiring soon / Expired) and how overdue each one is.
Logging in
- Go to notifylandlord.co.uk and click Log in (or open the link the office sent you).
- Enter your Email or username and Password — the office will have given you these.
- Click Log in.
Forgotten your password? Use Forgot password? on the login screen. To sign out, use the Log out button at the bottom of the left-hand menu. You only ever see the jobs assigned to you.
Arranging access with the tenant
Before you visit, arrange a time to get into the property. This works the same across every job.
- Open the job and click Request Access.
- Offer up to three times: Option 1 (required), plus Option 2 and Option 3 if you like.
- Click Preview to see the email (and text) that goes to the tenant. Edit the wording if you want.
- Click Send to tenant. They get a link and pick one of your slots.
- You also get a Tenant link you can Copy and send yourself — handy if you'd rather WhatsApp or call them.
Plans changed? Use Re-request Access to offer new times. Every job also shows the tenant's name and phone/email so you can contact them directly.
Doing a certificate
- Open the certificate and use Request Access to arrange your visit (see above).
- Attend and carry out the work.
- Come back to the certificate and choose one of:
- Upload certificate — attach the new certificate (photo or PDF) and click Send to team. You don't enter any dates — the office reads the certificate and fills those in.
- Mark complete — use this if you've emailed the certificate or dropped off a paper copy instead. Add a short note (e.g. "Emailed PDF to the office") and click Mark complete.
If something's blocking you
- Raise Issue — tell the office if the tenant's details are missing or you can't get a response. The certificate stays with you; the office just gets a heads-up.
- Decline — if you can't do it at all (fully booked, out of area). Give a reason and it goes back to the office to reassign.
Remember: you never type the certificate dates. Just send the file — the office checks it and sets the valid-from and expiry dates.
