Contractor guide

Maintenance

Under Maintenance you'll see the jobs assigned to you — each with a job number, title, priority and status.

Logging in

  1. Go to notifylandlord.co.uk and click Log in (or open the link the office sent you).
  2. Enter your Email or username and Password — the office will have given you these.
  3. Click Log in.

Forgotten your password? Use Forgot password? on the login screen. To sign out, use the Log out button at the bottom of the left-hand menu. You only ever see the jobs assigned to you.

Arranging access with the tenant

Before you visit, arrange a time to get into the property. This works the same across every job.

  1. Open the job and click Request Access.
  2. Offer up to three times: Option 1 (required), plus Option 2 and Option 3 if you like.
  3. Click Preview to see the email (and text) that goes to the tenant. Edit the wording if you want.
  4. Click Send to tenant. They get a link and pick one of your slots.
  5. You also get a Tenant link you can Copy and send yourself — handy if you'd rather WhatsApp or call them.

Plans changed? Use Re-request Access to offer new times. Every job also shows the tenant's name and phone/email so you can contact them directly.

Doing a maintenance job

  1. Open the job. Read the details and check the property and tenant info.
  2. Use Request Access to arrange your visit (see above).
  3. Attend and carry out the work.
  4. Click Mark complete and fill in:
  • Completion date
  • Completion summary — what you did to fix it
  • Completion photos — photos of the finished work (optional, but recommended)
  • Completion video — one short video if useful (optional)

Click Mark complete to finish — the job is marked Resolved.

Other buttons

  • Edit — update the job details if needed.
  • Raise Issue — flag a problem (missing tenant details, no response) without giving the job up.
  • Decline job — hand it back to the office with a reason.
Note: you record the fix in the completion form (date, summary, photos, one video). There's no quote or invoice upload here — send invoices to the office the usual way.
